Appointment Reminders and Cancellation Policy

Appointment Reminders

Your appointment is considered confirmed at the time of making the appointment. You will receive a series of courtesy SMS reminders because we understand that life is busy, and we all need reminders!

Your first SMS reminder will be 3 weeks before your appointment, many appointments are booked six months in advance and the scheduled appointment may no longer suit. This is the perfect time to reschedule if you need to.

You will then receive a second SMS reminder 48 hours before your appointment, we request a response to this SMS. If we don’t hear from you, we will call you.

A final SMS reminder will be sent 24 hours before your appointment.

If we have been unable to confirm your appointment within 24 hours of your appointment time, the appointment will be cancelled and this appointment time will be offered to a patient on our waitlist. We will do our best to contact you to confirm the appointment before we cancel it.

Cancellations

We understand that even the best made plans can go awry. Please contact the practice as soon as you can to arrange an alternative appointment. The appointment time has been allocated to you, other people may have been turned away or put on our waitlist. If you cannot make the appointment any more, please allow us time to offer it to someone else.

We ask that you give us no less than 24 hours’ notice when rescheduling an appointment. If you cancel with less than 24 hours’ notice or fail to attend your appointment a $100 fee will be charged to secure your next appointment. This fee will be used as a credit towards treatment at your appointment, if you fail to attend or cancel with less than 24 hours’ notice, the deposit will be forfeited.

If you fail to attend more than one appointment or an appointment over 1 hour, you will be charged $100 fee and it will not be used towards future treatment.

Appointment Deposits

For appointments longer than ninety (90) minutes or greater, we will require a deposit towards your treatment. This deposit is used as a credit towards your account and will be applied to your account at completion of treatment. In the event that you cancel your appointment with insufficient notice (24 hours), your deposit will be forfeited. To reschedule the treatment will require a second deposit.

The deposit amount will depend on the type of treatment and the appointment length. We reserve the right to charge up to 50% of the treatment cost for appointments over 90 minutes.

Late Arrivals

Each appointment is booked for a specific amount of time required to complete the treatment and provide personalised care for our patients. We endeavor to run on time and appreciate if you do to. If you arrive more than 10 minutes late to your appointment, your appointment will be rescheduled upon your arrival.

A late arrival to an appointment is considered a failure to attend and will incur the above fees upon being rescheduled. We understand that life happens, please call ahead if you know that you may be late and we will do our best to accommodate you.
