Appointment Reminders and Cancellation Policy

 

Appointment Reminders (Weekdays)

Got an appointment? Consider it confirmed once you book it! We know life gets hectic, so we’ll send you a few friendly SMS reminders to keep you on track.

Here’s the rundown:

  • TWO Weeks Out: You’ll get your first reminder. If your schedule has changed (because, well, life), this is the perfect time to let us know and reschedule.
  • 48 Hours Before: Expect your second reminder. Give us a shout back! If we don’t hear from you, we’ll give you a call.
  • 24 Hours Before: A final reminder will pop up.

If we can’t confirm your appointment within 24 hours of the scheduled time, we’ll have to cancel it and offer the slot to someone on our waitlist. But don’t worry, we’ll try our best to reach you before we do.


Cancellations

Life happens, and plans change. Just let us know ASAP if you need to cancel or reschedule. Your appointment slot was saved just for you, and we might have turned away others or put them on a waitlist. To be fair to everyone, please give us at least 24 hours’ notice if you need to cancel.

If you cancel with less than 24 hours’ notice or don’t show up, a $100 fee will apply. This fee goes towards your next appointment, but if you miss it again or cancel with less notice, it’s non-refundable.

Miss more than one appointment or any appointment over an hour? There’ll be a $100 fee that won’t be applied to future treatments.


Appointment Deposits

To help us provide the best service and manage appointment availability, we now require deposits in the following situations:

  • New patients
  • Returning patients who haven’t been seen in 2+ years
  • Any patient who has previously failed to attend an appointment

Deposit Details:

  • Deposits are applied to your treatment costs.
  • For cancellations with less than 24 hours’ notice, deposits are forfeited.
  • To reschedule after a forfeited deposit, a new deposit will be required.
  • The deposit amount depends on your treatment type and appointment length. For longer appointments, deposits may be up to 50% of the total treatment cost.

For appointments over 90 minutes, a deposit is always required regardless of patient type.


Late Arrivals

We aim to keep things running smoothly and on time, and we appreciate if you do too. If you’re more than 10 minutes late, we’ll need to reschedule your appointment.

Late arrivals count as a missed appointment, and the same fees apply. If you know you’re running late, give us a call, and we’ll do our best to fit you in.

By booking a Saturday appointment, you agree to the following terms and conditions:

  1. Deposit Requirement
    A non-refundable deposit is required at the time of booking to secure your appointment:

    • $100 for standard appointments
    • $200 for appointments exceeding one hour

If your appointment is booked over the phone, a secure payment link will be sent to you. This deposit must be paid within 24 hours of receiving the link to confirm and secure your appointment time. Failure to complete payment within this timeframe may result in the appointment being released to another patient.

  1. Saturday Surcharge
    A Saturday surcharge will be applied to all Saturday appointments. This surcharge is 3% of treatment fees, capped at $15.00 per half an hour.
  2. Cancellation & Rescheduling Policy
    A minimum of 48 hours’ notice is required to cancel or reschedule a Saturday appointment.

    • Cancellations or changes made within 48 hours of the appointment may result in forfeiture of the deposit.
  3. Late Arrivals
    Patients arriving late may have their appointment shortened or rescheduled at the discretion of the practice, and the deposit may be forfeited.
  4. Balance Payment
    Any remaining balance owing after the deposit must be paid on the day of the appointment.
  5. Changes to Services or Fees
    The practice reserves the right to update fees, surcharges, and policies at any time. Patients will be informed of any changes prior to their appointment where possible.

These terms are in place to ensure fair access to limited Saturday appointments and to support the additional costs associated with weekend staffing.
